Newcrest Mining is one of the world’s largest gold mining companies and a long-standing Bluebox client. With a strong focus on safety, Newcrest required a controlled document solution that would improve risk management and streamline the creation and approval of critical safety documents.

Before approaching Bluebox, Newcrest had been scouring the market for a solution that met their needs without success.

The Challenge

Newcrest needed a practical, efficient way to manage two key document types:

  • Standard Work Instruction (SWI) documents, which detail how to carry out activities safely to avoid risk and injury for repetitive tasks.
  • Job Safety Environmental Analysis (JSEA) documents, which guide the employee through assessing the risks of completing a one-off task prior to its commencement.

Their previous system presented several issues:

  • Approval delays caused by inefficient workflows.
  • Generic document naming, making it difficult to locate the right version.
  • Inconsistent formatting, which made hazards and controls harder to identify.
  • Significant manual effort required in producing each document.

After extensive searches for a solution, Newcrest was unable to find a product that met their needs leading them to partner with us to create a tailored system.

The Solution

We designed and delivered an innovative Microsoft-based solution using Microsoft 365, SharePoint and Azure web services. Key features included:

  • Standardised layouts and field options for hazards and critical controls.
  • Forms with WYSIWYG controls to maintain user-friendliness.
  • Automated workflows for approval, publishing and version control.
  • Ability to generate a SWI or JSEA based on a Word template and store it in a SharePoint document library for it to enter an approval and publishing workflow
  • Enhanced ability to add photos, diagrams and drawings using drag-and-drop functionality.
  • Intelligent dashboards providing visibility of work in progress.
  • Data-driven analytics to assess safety statistics and risk rankings.
